Duties: GENERAL ACCOUNTABILITY:

The incumbent in this class assists management to achieve an efficient operation in the Corporate Services Department through reliable performance in clerical, secretarial and receptionist duties, ensuring the safety and security of confidential material pertaining to the Department's operation.


NATURE AND SCOPE OF WORK:

The incumbent in this class will perform a variety of typing, filing, clerical and receptionist duties, varying in degree of responsibility and moderate complexity; opening incoming correspondence, registering same, assigning appropriate file numbers and forwarding to the appropriate department/agency for action; filing correspondence and maintaining and updating all City files; controlling all files and correspondence. The incumbent will act as recording secretary at all standing committees as assigned; preparing agendas, taking minutes, finalizing minutes and distributing copies as required; preparing from the minutes outgoing correspondence as appropriate. The incumbent will type a variety of correspondence/material from copies, rough notes, drafts, dictaphones or by general instructions. The incumbent will perform receptionist duties, providing a variety of assistance to the general public over the telephone or at the receptionist counter. The incumbent will be required to perform other related tasks as assigned. Assignments and responsibilities are performed under general supervision, in accordance with established routine and performance is subject to review, inspection and evaluation by the Human Resources Coordinator.
Education: -Must have a minimum of grade 11 education supplemented by courses in office practice and secretarial training;
Skills: -Sound knowledge of business English, spelling and punctuation;

-Sound knowledge of filing systems, procedures and practices;

-Good knowledge of modern office practices and procedures;

-Able to operate a variety of standard office equipment including the word processing equipment;

-Able to be polite, courteous and tactful in dealing with the public and be neat in appearance;

-Able to establish and maintain an effective working relationship with elected and department officials and other members of the staff;

-Able to maintain and control a filing system;

-Able to take minutes, etc., rapidly and accurately.
Salary: $30.71 per hour (2024 Rate)
