Duties: The incumbent in this class will assist management to achieve an efficient operation in the Department through reliable performance in secretarial, typing, desktop clerical and receptionist duties and ensuring safety and security of confidential matters/material pertaining to the Department's operation.

The incumbent in this class will perform a variety of clerical, typing, receptionist and secretarial duties varying in degree of complexity and responsibility; typing a variety of correspondence, reports, memoranda, statements, documents, forms and related materials from copies, rough drafts, notes, dictaphones or general instructions; maintaining the Department's filing system, including maintenance of reports, statistics and accounts. The incumbent will answer incoming telephone calls, referring inquiries, complaints, etc., to the appropriate office for action, providing a variety of technical and general information and assistance to the public over the telephone or at the reception counter. The incumbent will create and prepare reports using Desktop Publishing software. The incumbent will perform other related tasks and special projects as assigned. Assignments and responsibilities are performed under general supervision and performance is subject to review, inspection and evaluation by the Director.

The incumbent in this class will normally work the standard work week of Monday to Friday in accordance with the hours specified, and on occasion work overtime as authorized. The employee, upon hiring, will have Union Dues deducted from source in accordance with the Union Agreement. The employee shall be responsible for performing tasks associated with secretarial "housekeeping" duties.
Education: Must have completed Grade 12 in a commercial program, supplemented by formal courses in the secretarial field;
Skills: - Must have and maintain qualifications as an Industrial First Aid Attendant as specified by the Workers’ Compensation Board;

- Considerable knowledge of the functions, methods, rules, procedures, bylaws, regulations and policies pertaining to the Department;

- Sound knowledge of business English, spelling and punctuation;

- Sound knowledge of financial accounting, Municipal Finance, property taxation and related departmental issues;

- Good knowledge of modern office practices and procedures;

- Able to perform clerical and secretarial assignments with minimal supervision;

- Able to operate a variety of standard office equipment, including the word processing and spreadsheet programs;

- Able to be polite, courteous and tactful in dealing with the public and be neat in appearance;

- Able to establish and maintain an effective working relationship with Department Officials, Directors and other members of staff;

- Able to authoritatively process a variety of calls, complaints and enquiries and arrange appointments/meetings as required;

- Able to type accurately and rapidly;

- Able to creatively and effectively produce documents and reports using Desktop Publishing software;

- Able to process a variety of confidential material with discretion and integrity.
Salary: $33.26 per hour (2023 rate)
