Duties: | Reporting to the Communications Manager, the Communications Assistant prepares and disseminates a variety of materials to support strategic communications of the City on behalf of Mayor and Council and all City departments.
The incumbent is responsible for website updates, social media posts and responses, written communication, ad placement and development, event planning and attending events in order to strengthen positive brand recognition of the City and enhance citizen engagement in municipal government. The incumbent is also responsible for providing administrative support as required for the Administration Department. This may include answering phones, contributing to correspondence and providing coverage for vacation and sick time. Draft key messages and speaking notes for Mayor and Council; Attend events on behalf of the City to enhance citizen engagement; Book newspaper and radio ads on behalf of City departments to ensure brand consistency. Work with appropriate internal stakeholders to deliver a corporate communications plan aligned with the organization’s strategic priorities. Identifies, coordinates and implements programs to deliver on communications plan. Provide speaking notes for Council to ensure external Council are well briefed and provide a clear and consistent message to the community. Enhance engagement opportunities for residents. This may include attending community events as a representative of the City, leading school tours and presentations about municipal government, and building relationships with external stakeholders. Monitor and update online communication, ensuring the City’s website and social media outlets provide a consistent message as well as effective two way communication with residents. Support administrative staff in a variety of tasks to ensure consistent communication in a timely manner on behalf of the City and Council. Ensure the City’s corporate identity is managed professionally and consistently to ensure quality and consistency in all communication materials. Monitor industry best practices to identify and recommend opportunities that will enhance public consultation and citizen engagement in municipal government. Assist with emergency communication or crisis communication under the direction of the Communications Manager. Assist with creating clear, effective and timely communications during a crisis situation and may be required to serve as Public Information Officer. Attend Council meetings as required to keep abreast of issues that may have communications-related implications. The scope of the work of the incumbent will include those matters which may be deliberated upon during a closed session of Council, pursuant to Section 90 of the Community Charter. May assist with critical issues communications which are confidential and sensitive in nature such as employee terminations for cause, union negotiations, and other human resources related matters; May assist with communication strategies related to labour relations and collective bargaining, including the development of the City’s communications strategies during periods of strike or lock-out. |
Education: | Preferably a four-year degree from an accredited institution in Public Relations, Media Communications, Journalism or a related field; |
Skills: | Experience within a related field, preferably including hands-on experience in local government or another public sector organization;
Superior oral and written communication skills, with the ability to deal effectively with members of Council, management, the public, all levels of staff and the media; Ability to maintain confidentiality on all sensitive matters; Ability to maintain a high degree of professionalism and integrity; Knowledge of and ability to utilize current social media tools; Knowledge of good communication principles and practices especially as they relate to strategic corporate communications, issues management and media relations; Knowledge and experience using InDesign, Photoshop and/or other graphic design programs; Must be in possession of a valid B.C. Driver’s Licence. |
