Duties: | This position will assist the NCO i/c General Investigation Section (G.I.S.) to achieve an efficient operation within the Section through reliable performance in secretarial duties, typing, clerical and receptionist duties and ensure safety and security of confidential matters pertaining to the Section's operation.
Duties include exercising a high degree of independent judgement requiring a higher level of skill and work complexity than that of a Clerk-Typist II; performing a variety of clerical, typing, receptionist and secretarial duties, varying in degree of complexity and responsibility; typing a variety of correspondence, reports, memoranda, minutes, forms and related material from copies, rough drafts, notes, shorthand, dictaphone or general instructions; assisting in charting serious crime information and will be required to make appropriate dissemination with or without specific instruction; providing secretarial services to Departmental and Section meetings, arranging meetings and making appointments; filing and maintaining all classified operational material for the entire Detachment; assisting, as required, in answering incoming telephone calls, referring enquiries, complaints, etc., to the appropriate office for action, providing a variety of technical and general information, including the priorization of information for actioning in the absence of the supervisor(s), and assistance to the public over the telephone or at the receptionist counter. Assignments and responsibilities are performed under general supervision and performance is subject to review, inspection and evaluation by the Supervisor. |
Education: | Must have completed Grade 12 in a commercial program, supplemented by formal courses in the secretarial field. |
Skills: | -Considerable knowledge of the functions, methods, rules, procedures, regulations and policies of the various levels of Government as they apply to the Detachment and General Investigation Section;
-Sound knowledge of business English, spelling and punctuation; -Good knowledge of modern office practices and procedures; -Able to perform clerical and secretarial assignments with minimal supervision; -Able to operate a variety of standard office equipment including the word processing equipment; -Able to operate and make entries to the Canadian Police Information Centre (C.P.I.C.) and the Police Information Retrieval System (P.I.R.S.); -Able to retrieve information on Automatic Text Management System - Store, Search and Retrieval System (A.T.M. - S.T.A.I.R.S.); -Able to be polite, courteous and tactful in dealing with the public and be neat in appearance; -Able to establish and maintain an effective working relationship with department officials, department heads and other members of the staff; -Able to process a variety of calls, complaints and enquiries authoritatively and arrange appointments/meetings as required; -Able to type accurately and rapidly; -Able to take dictation, minutes, etc., rapidly and accurately; -Able to process a variety of confidential material with discretion and integrity. |
